Pre-Enrolment Reporting Module

In line with the pre-enrolment requirements of the new Standards for RTOs (2025) the LLN Robot System includes the option to send reports directly to the learner, either with just a summary of their ACSF levels, or with a comparison to an intended course profile.

This reporting is available for the following quiz types:

• ACSF 3 Short Course Quiz
• ACSF 3 Quiz
• ACSF 4 Quiz

The activation of this function can be managed via a toggle function in the Manage System Settings, accessed in the main menu by Administrator level users.

When this function is activated there will be the option to select a course at the invitation stage, which will be used in the comparison of the learner's results to a course profile, or a learner can select a course at the beginning of the quiz, when they enter/confirm their details.

The general workflow in this new process would look like:

1. The learner accesses the LLN quiz, either via an invitation or direct quiz link.
   1. If via Invitation: the RTO can select the course which the learner has expressed interest in, or if unknown, a default option of “I'm not sure which course I'm interested in” is available.
   2. If via direct quiz link: the learner can select from the drop-down list the course they are looking at, or if they are not sure yet, a default option of “I'm not sure which course I'm interested in” is available.
2. Learner completes the quiz, and results and reports are generated. The reports generated will depend on whether a course was selected or the default "unknown" option is chosen.
   1. Course was selected:
      1. Learner receives the LLN Profile - Comparison report
      2. RTO receives the Pre-Enrolment Report
   2. "Unknown" was selected:
      1. Learner receives the LLN Profile - Results report
      2. The RTO can access regular reports via the Learner Card Modal

Course Profiles - Private vs Public

In order to populate the Course list used in this process Course Profiles must first be created in the LLN Robot System. For this process please refer to the New/Create Course Profile help article.

Any courses that are set as Private (checkbox is ticked) will not be populated in the Course list accessible in the invite module or to the learner when accessing the quiz.

Please note, learners will see the name of the course as it is entered in the COURSE TITLE field in the course creation process, or as displayed as the COURSE NAME in the Courses list.

The ACCCESSIBILTY column shows which course profiles are set as Public (displayed to learners/in learner invite form) or Private (not displayed to learners/in learner invite form).
